GMM had a person on payroll with one job: send follow-up emails. A few hundred per week, to leads and existing clients, tracked and managed manually. It was expensive, time-consuming, and prone to human error.
Emails slipped, follow-ups went out late, and the whole process depended on one person staying on top of a spreadsheet. It was not a system, it was a liability.
Our Strategy
Notion Hub + Automated Follow-up System
We built a centralized Notion database to house every lead and client contact in one place, with a clear structure and status tracking.
From there, we automated the entire follow-up sequence. Emails go out automatically on the right cadence, to the right person, until a response comes in.
When a response arrives, it is categorized automatically and the contact is moved to the appropriate next stage. Nothing falls through, nothing needs manual chasing, and no one has to manage the queue.
