The Challenge
Overwhelmed solo founder.
Nicola runs Square Studio as a solo founder with a small roster of high-value retainer clients. The work itself was never the problem. The problem was everything around it. Invoices, CRM entries, project management, admin tasks that had no system, no automation, and no room to breathe.
Managing it manually meant either dropping the ball on operations or burning time that should have gone to clients. Scaling with that kind of overhead was not realistic.
Our Strategy
The planning picture
We started by consolidating everything into Productive.io, a single platform that combines project management, CRM, and invoicing.
From there, we built automations across the whole tool: new leads are captured and entered automatically, invoices are generated and sent without manual input, and project data stays organized without Nicola having to touch it.
Social media was a part that he needed to figure out, so we helped him by systematizing the whole content creation process for multiple channels.
On top of that, we built an AI layer directly into his email inbox. Every incoming email is analyzed and routed automatically. Contracts and invoices are saved to the correct folders in Google Drive. Leads trigger a draft response, ready to review and send. Nothing falls through the cracks, and nothing requires manual sorting.
